Smart access app for a coworking space

The challenge

A coworking space needed to control who gets in and who uses the network, without badges to print, Wi-Fi passwords passed around or staff checking every entrance. Everything had to run from the phone members already carry.

What we built

An iOS and Android app, built in Flutter, that works as the member's digital pass.

• Open the door with the phone: members scan the QR code at the entrance and the door unlocks, only if their membership is active
• One-tap Wi-Fi access: the app authenticates the member on the space's network, with no shared passwords
• Second device: members can connect a laptop or tablet by scanning a QR code from the app, and disconnect it when they want
• Device-bound accounts: each account is tied to the member's phone. New registrations and phone changes are confirmed at the desk with a code shown in the app, so passes can't be shared
• Membership status driving the experience: active, expired (with renewal screen), pending activation or new terms to accept
• Bookings and news from the space, privacy and terms consent management, profile and account deletion

Outcome

Entrance and network are handled by the app: the desk only steps in to activate new members, and access always follows the membership status. The app has been in use and maintained since 2021.
